Journey · Upload Sources

Bulk-upload from a spreadsheet

Hundreds of rows, one file. Download the template, fill it in, upload, and know within minutes which rows landed and which need attention.

Before you start

  • A reporting year (and a facility, if you are uploading waste)
  • Your data in a spreadsheet or CSV

By the end you'll have

  • Records created in the right module, ready to calculate
  • A specific list of any rows that were rejected, and why

About 20 minutes.

1. Start from the current template

Open Upload Sources and click Upload Data. Step one offers a template card for each data type: Emission, Energy, Water and Waste. Download the one you need even if you have an older copy: column names and allowed values change, and the validator checks against the current layout.

Keep the header row

Do not rename, reorder or delete columns. Leave optional columns blank rather than removing them.

2. Fill it in

RuleWhy
One row is one activityA month of fuel across three boilers is three rows, not one.
Use names that already existFacility, unit and fuel names are matched exactly against your organisation's records and reference data.
Dates as real datesThe date drives which factor edition applies. Text such as “Q3” cannot be placed in time.
Leave blanks blankA blank is not a zero. A missing quantity is flagged; an invented 0 would silently vanish from your total.

3. Upload

  1. 1

    Pick the Data Type

Emission, Energy, Water or Waste. It must match the template you filled in.

  2. 2

    Set the Reporting Year

Required for every type. If none exists, create one under Organisation Setup first.

  3. 3

Set the Facility, for waste only

The Facility field only appears for Waste, and the server rejects a waste upload without it.

  4. 4

    Drop the file

The dropzone accepts .xlsx, .xls and .csv.

The dialog closes as soon as the server accepts the file; parsing continues in the background. The Upload Sources table refreshes every few seconds while anything is Pending or Processing.

4. Read the status

StatusMeaningWhat to do
PendingAccepted, waiting for a workerNothing. It starts shortly.
ProcessingBeing parsed (progress bar)Nothing. Keep working.
ProcessedRecords createdOpen the module and run the calculation.
FailedValidation problemsClick the red indicator, fix the rows listed, re-upload.

5. When rows are rejected

The error panel groups problems by sheet, then names the row and field wherever it can. It also reminds you to re-download the template in case your file was built against an older one. Fix exactly those rows and upload again.

Re-uploading a corrected file

Upload the corrected file as a new upload. Check the module's list first so rows that did land are not added a second time.
